Terms & Conditions 

Please make sure you have read our T&Cs and are eligible to hire before booking our services.

These Terms and Conditions form a legally binding agreement between Horsebox Hire and Transport (“the Owner”) and the person signing below (“the Hirer”).

1. Driver Eligibility

1.1 The Hirer and any driver must be aged between 23 and 75 years.
1.2 All drivers must have held a full UK or EC driving licence for a minimum of two (2) years prior to the commencement of hire.
1.3 Only drivers approved by the Owner’s insurers and named on the hire proposal form are permitted to drive the vehicle.

2. Identification and Insurance Approval

2.1 Before collection of the horsebox, the Hirer must provide:

• One valid photo driving licence, and

• Two recent utility bills or official documents confirming name and address, dated within the last three (3) months.

2.2 Copies of identification documents will be retained for twelve (12) months for insurance and compliance purposes.
2.3 The Owner reserves the right to refuse or cancel hire at collection if insurance requirements are not met. In such circumstances, all monies paid shall be forfeited.
2.4 Any vehicle left at the Owner’s premises during the hire period is left entirely at the Hirer’s risk, including all contents.

3. Booking, Payment and Cancellation

3.1 The full hire fee is required to secure the booking.
3.3 Cancellations made more than four (4) days before the hire date will receive a full refund, less an admin fee of £15.
3.4 Cancellations made within four (4) days of the hire date are non-refundable, unless the booking is replaced at the Owner’s discretion.

4. Hire Period, Charges and Mileage

4.1 The hire period commences and ends at the agreed times stated at booking.
4.2 Hire charges include 200 miles per full day or 100 miles per half day.
4.3 Excess mileage will be charged at £0.40 per mile.
4.4 Late return will incur a charge of £20 per hour or part thereof.
4.5 No refund shall be given for early return of the vehicle.

5. Fuel

5.1 The horsebox operates on DIESEL fuel only.
5.2 The Hirer shall be fully liable for all costs, including repair, recovery, and business interruption, arising from misfuelling.
5.3 The vehicle will be supplied with a full tank of diesel and must be returned full. Refuelling costs of £40 plus the cost of the fuel will be charged if this condition is not met.

6. Use of Vehicle

6.1 The horsebox must not be used:

• For hire or reward,

• For any illegal purpose,

• By any unauthorised driver.

6.2 The Hirer is responsible for all fines, penalties, tolls, and charges incurred during the hire period.

7. Horses, Documentation and Insurance

7.1 It is a legal requirement that all horses and ponies travel with a valid passport in accordance with the Horse Passport (England) Regulations 2004.
7.2 The Hirer warrants that all horses carried are insured for travel, including appropriate public liability insurance.
7.3 The Owner accepts no responsibility or liability for injury, illness, loss, or death of any horse during transit.

8. Condition, Damage and Insurance Excess

8.1 The vehicle, including tyres, will be checked prior to collection and deemed roadworthy.
8.2 The Hirer is responsible for all damage, loss, or deterioration occurring during the hire period, howsoever caused.
8.3 This includes damage caused by horses, passengers, or negligence.
8.4 The Hirer shall be liable for either:

• The full cost of repairs, including loss of earnings (£90 per day), or

• Payment of the insurance excess of £750, where applicable.

8.5 All damage must be reported upon return.
8.6 All accidents must be reported immediately to Horsebox Hire and Transport on 07500949291.

9. Breakdown and Recovery

9.1 Breakdown and recovery contact details are in the glovebox on the passenger side of the cab.
9.2 In the event of a breakdown, the Hirer must immediately notify Horsebox Hire and Transport on 07500949291.
9.3 The Hirer must follow all instructions provided by the Owner and recovery services.

10. Return Condition and Cleaning

10.1 Upon return, the vehicle will be inspected for damage, cleanliness, fuel level, tyres, windscreen, mirrors, doors, cab, horse area, and groom’s area.
10.2 The horsebox must be returned clean and empty, with all rubbish, hay, droppings, and personal belongings removed.
10.3 Failure to return the vehicle in an acceptable condition will result in a £40 cleaning charge.

11. Prohibited Activities

11.1 Smoking is strictly prohibited in all areas of the vehicle.
11.2 Dogs or other animals are not permitted in the horsebox.

​

12. Limitation of Liability

12.1 Horsebox Hire and Transport shall not be liable for any loss, expense, or damage arising from:

• Vehicle breakdown or mechanical failure,

• Delayed or incomplete journeys,

• Loss of competition entries, accommodation, stabling, or related costs.

A signed copy of these T&Cs will need to be submitted before any hire.
